The Novtel Hospitality basic operational training and setup on our free version will take no longer than 80 minutes to master guaranteed.

Operational Staff Members

The work done by Operational Staff Members on the system:

Making of bookings

Recording of deposits due

Creating Guest

Manage correspondence

Taking payments for deposits and departures

Arriving guests

Shift cash-up end of day

Changing Guest current status on the system

Print arrivals list and other basic day-to-day reports

Manage housekeeping with Novtel

Personnel requirement Operational Staff Members:

Maintain master files and correspondence.

Minimum

Basic Computer Literacy

Recommended

PC Literacy and Relations Management business operational industry knowledge 12 months.

Novtel System Managers

The work done by Novtel System Managers on the system:

Setting up the Rooms

Setting up operational staff with user rights

Open, Close and manage of user shifts

Basic Reconciliation of user shifts

Creating seasons, rates, special guest tariff and rates structures

Customise printed documents own logo’s etc.

Assist with setting up 3rd party accounting interface if integrated

Personnel requirement System Managers:

System Setup, Room & rates management.

Minimum

Basic knowledge of Hospitality industry and rates structures.

Recommended

2 year or more experience as manager or owner of Hospitality company.

Novtel with direct digital accounting Interface

Before the Accounting interface can be considered the Accounting package and licences for running it on-site must be acquired and installed.

The work done by the Accounting Staff:

Setting up General ledger (GL) for financial reporting

Setting up room as inventory service items

Setting up room to GL reporting groups

Digital capture of bookings as invoices with Novtel

Complete Reconciliation of user shifts

Reconciling cash book

Month-end accruals for room rentals

Maintenance and room service provides management

Supplier/Vendor management

Produce management reposts to management / owners.

Payroll management

Do tax returns monthly, bi-monthly and yearly

Do corrections for mistakes of operational staff and system managers when needed

Personnel requirement Accounting Department:

Accounts bank recon. and financial control.

Minimum

Basic knowledge of Hospitality industry and accounting experience of 2 years.

Recommended

Basic knowledge of Hospitality industry and accounting experience of 5 years.

IMPORTANT NOTE!!!

Accounting interface is not compulsory:

It is important to note that Novtel can run 100% independent and does not require the direct accounting interface. Many smaller Hospitality companies that use Novtel Hospitality outsource the accounting function in total.
IMPORTANT NOTE!!!

Power surges, power dips and power failures can damage computer equipment and corrupt databases, if computer equipment is switch off without proper shutdown procedures. Steps must therefore be taken to protect valuable computer hardware and databases by providing constant and regulated power supply as follows:

On each computer and network switch an UPS (Uninterrupted Power Supply) must be installed.

For remote areas where power supply is often interrupted we recommend that a generator 5.5kw with Voltage regulator be installed to supply power to all the UPS points in the network system when power failures occur.

Secure remote access to the Novtel system's form anywhere in the world is easily achieved with Microsoft Terminal Server that ships with Windows server 2003 and 2008 standard edition. Internet connection is the only requirement to setup this powerful remote access feature up.
